AI quoting for plumbers costs $0-$20 a month if you use a chat assistant to write quotes, or roughly $29-$330 a month for job software with AI built in, such as ServiceM8, Tradify, Jobber or Housecall Pro. The AI drafts job descriptions and line items from your notes, tidies wording and helps chase unanswered quotes. It doesn't set your prices.
That last point is why the cheapest option is often enough. If your problem is writing (quotes take an evening because you hate typing them), a $20 chat plan solves it. If your problem is the process around the quote (notes lost between site and office, no follow-up, no options offered), you need job software, and the AI is one feature among several you're paying for.
What "AI quoting" actually does, stage by stage
Vendors use the phrase loosely. Here's what current tools do at each stage of a plumbing quote, and what they leave to you.

Notice the price row. No mainstream plumbing tool works out your price for an unseen job; the AI takes what's in your price book and arranges it. That's the right design, and it means the quality of your price book decides the quality of your AI quotes.

Two things the table hides. First, ServiceM8 prices by jobs per month, not users, so it can be the cheapest for a team with modest volume and the most expensive for a high-volume solo operator. A two-van plumbing firm pricing up the options
Take an illustrative firm: owner plus one plumber, both quoting, about 60 quotes a month, currently writing them in a word processor at around 35 minutes each and never following up. What would each route cost them each month?

Now the benefit side, as an illustration. If AI drafting and a tidy price book cut each quote from 35 to 15 minutes, 60 quotes save 20 hours a month. At the owner's $60-an-hour charge-out rate that's $1,200 of time, which covers any row in the table. Then add follow-ups: if chasing silent quotes wins two extra jobs a month at $300 margin each, that's another $600, and only the platforms with automated follow-ups deliver it without someone remembering.
For this firm the sensible shortlist is the two cheapest job-software routes plus one with built-in follow-ups, trialled on real quotes. The chat-plan route saves the writing time but leaves the follow-up gap.
A hot water tank quote, before and after AI drafting
Here's what the drafting step looks like. The plumber's voice note from site:
"Replace hot water tank, existing one leaking from base, same spot, need new relief valve and discharge pipe upgraded to meet current rules, isolate, drain, remove old, fit new, commission, 1 day, two of us, customer wants option for a bigger tank."
An illustrative AI draft of the quote description:
Option A: Replace hot water tank (same size). Isolate and drain the existing leaking tank; remove and dispose of it; supply and fit a new tank of the same capacity in the same location; fit a new relief valve and upgrade the discharge pipework; commission and test. Two engineers, one day. Option B: Upgrade to a larger tank. As Option A with a higher-capacity tank, for more hot water at busy times. All work will fully comply with every regulation.
What you'd fix: "fully comply with every regulation" is a promise the AI invented; replace it with the specific certificate or sign-off you'll provide. Check the larger tank fits the space before offering it; the AI doesn't know the cupboard. And make sure the price for each option comes from your price book, not a figure the AI suggests. What an automated quote follow-up should say
Follow-ups are where job software earns its fee over a chat plan, but only if the messages sound like you. An illustrative two-step sequence for a bathroom refit quote, drafted with AI and edited:
- Day 3 (text): "Hi [first name], it's [your name] from the plumbing firm. Just checking the bathroom quote came through okay and makes sense. Happy to talk through the two options if that helps."
- Day 10 (email): "Hi [first name], a quick note on the bathroom quote from the 4th. We're booking refits about three weeks out at the moment, so if you'd like the slot in early November, let me know by Friday and I'll hold it. If you've gone another way, no problem at all, and thanks for having us round."
What makes these work: a real name, a reason to reply (a slot, not a discount), and an easy way to say no. What to avoid: AI drafts love "Just following up to see if you had any questions!" three times in a row. Set the sequence to stop as soon as the customer replies, or you'll send a chaser to someone who accepted yesterday.
Costs beyond the monthly subscription
- Extra users. Per-user tools (Tradify) and tiered tools (Jobber, Housecall Pro) rise as you add an apprentice or office help. Price the team you'll have in a year.
- Add-ons. Phone and answering features are often extra: ServiceM8 Phone starts from $19 a month, and Jobber's receptionist is a $29 add-on below the Plus plan.
- Card payment fees when customers pay deposits online through the platform. Check the rate before switching on "pay deposit to accept".
- Setup time. Loading a price book, templates and customer list takes most small firms two to four evenings. It's the part that makes the AI useful, so don't skip it.
- Switching later. Quotes, customer history and price books don't always export cleanly. Ask how to get your data out before you put it in.
Three options on a leaking shower, laid out by AI
Offering options gives customers a way to say yes without choosing between the full job and nothing, and AI makes them quick to lay out. A plumber finds a shower leaking through the ceiling below: failed seals around the tray, a weeping valve behind the wall, and old tiles with cracked grout. With prices taken from the price book, the AI lays out three options from a voice note. An illustrative result:

The "doesn't fix" column is the part customers remember. It turns the choice into advice: B is the honest middle for most people, and C is there for someone planning to redecorate anyway. What you'd check in the AI's version: that it hasn't moved an item between options, that "ceiling repair below is separate" survived (it's often dropped), and that each price matches your price book exactly. If you stay on a chat plan: a quote template worth saving
Plenty of one-van plumbers are better off with a $20 chat plan and a good template than with job software. The trick is giving the AI the same structure every time. Here's a template filled in for a small job:

Paste those seven lines into your chat plan with one instruction ("Write this as a short, friendly quote email; don't add anything I haven't said") and it comes back ready to send in seconds. Keep the template in your phone's notes app. You lose follow-ups and the price book, which is why the route suits low-volume work, but you keep full control and pay $20 a month.
The price-book mistake that makes fast quotes wrong
A realistic failure: a firm sets up AI-drafted billing items in its job software in spring. In autumn their merchant raises fitting and valve prices. Nobody updates the price book, so every AI-drafted quote now pulls last season's prices. Quotes go out faster than ever and each one is a little too cheap; on a busy month of bathroom jobs that can quietly add up to several hundred dollars of lost margin before anyone notices.
How it shows up: gross margin on completed jobs drops while quote volume and win rate look healthy. How to prevent it: put a quarterly price-book review in the calendar, check the top 30 materials against your latest merchant invoices, and compare quoted versus actual material cost on five completed jobs each month. A two-week trial on real quotes
- Load your 30 most common jobs and materials into the trial account's price book with current prices. Without this, you're testing the demo, not the tool.

- Send one follow-up sequence on quotes older than three days, if the plan includes it, and count replies.
- Ask two customers whether the quote was clear. Their answer beats any feature list.

A good result for a two-person firm: quote time roughly halved, most quotes out within a day, and no wrong prices. If quote time barely moves, the bottleneck is probably pricing decisions rather than typing, and no quoting tool will fix that. Can AI work out how long a plumbing job will take?
Not reliably on its own. It can suggest typical steps and materials, but labour time depends on access, the age of the system, what's behind the wall and how your team works. Do customers mind quotes written with AI?
Customers care that the quote is clear, accurate and specific to their home. A well-edited AI draft often reads better than a rushed handwritten one. What puts customers off is generic wording, promises you didn't mean to make, or a description that doesn't match what you discussed on site, so read every quote before it goes.
Is a price book worth setting up before using AI quoting?
Yes. Job software AI drafts line items from your price book, so an out-of-date or half-filled one produces fast but wrong quotes. Spend a few evenings adding your 30 most common jobs and materials with current prices, then review supplier prices every quarter. It's the single change that makes AI quoting accurate.
