To write accurate eBay item descriptions with AI, feed the model bulleted raw defect notes, exact lay-flat measurements, and visible wear details, instructing it to use a structured template rather than promotional marketing prose. Always verify generated text against all uploaded photographs to ensure every scuff, tear, and dimension matches physical reality.

The risk is that a one-click description writer, eBay's own or a general chatbot, fills the gaps with flattering wording: "stunning vintage perfection" on an item with a frayed hem. On eBay, a buyer whose item doesn't match the listing can return it under the eBay Money Back Guarantee even if you don't accept returns, and the seller pays the return postage. Sellers call these item not as described (INAD) returns.

Experienced online merchants recognise that an effective eBay description is not an advertisement; it is a legal bill of condition. Buyers searching for second-hand clothing, vintage watches, refurbished tools, or rare collectables do not need creative storytelling. They want precise dimensions, transparent disclosure of every flaw, clear provenance, and explicit compatibility data. By using structured AI prompts that constrain output to a standardised modular template, you can catalogue hundreds of pre-owned items a week and cut the doesn't-match returns that cost the most.

The Mechanical Flaw of Generic AI Description Generators

When platforms introduced automated listing features, many sellers celebrated. Tap a button, and within five seconds an artificial intelligence tool inspects your item title and drafts a paragraph of flowing prose. The speed is real. The risk sits in what that paragraph leaves out.

Subscribe on YouTube@sagnikteaches

The failure stems from how base language models are aligned. Standard foundation models are trained to be helpful, pleasant, and enthusiastic. When handed a title like "Men's Waxed Field Jacket Size Large Brown", the AI assumes the item is pristine unless explicitly told otherwise. It produces poetic sentences praising the "luxurious finish", "flawless tailoring", and "timeless elegance ready for your wardrobe". If the buyer opens the delivery box and discovers frayed cuffs, a rusted zipper pull, and faint musty cellar odours, they immediately initiate an INAD claim.

Under the eBay Money Back Guarantee, a buyer who receives an item that doesn't match the listing is entitled to return it for a refund even if the seller doesn't offer returns, and the seller is responsible for return shipping. You have 3 business days to respond to the request, and in some cases eBay accepts the return on your behalf. The fees bite too: if your rate of item not as described return requests is rated Very High in a category, eBay adds 5 percentage points to the final value fee on that category's sales the following month (6 after four months in a row), and a Below Standard seller level adds 6 points.

Listing Approach Typical Description Characteristics Buyer Expectation Created Return & Dispute Risk
Native One-Click AI Generator Vague, hyperbolic marketing copy; ignores fabric wear; omits measurements Item is brand new or mint condition High: flaws missing from the text are the classic doesn't-match return
Unstructured Manual Typing Brief, inconsistent notes; easily forgets measurements or lining condition Fragmented information; prompts endless buyer questions Medium: gaps invite questions before sale and arguments after
Structured Modular AI Template Standardised layout: bulleted condition, lay-flat dimensions, flaw inventory, photo sync Completely transparent; sets exact realistic expectations Lower: every flaw disclosed and pictured, so a claim has less to stand on

Structuring the Modular Condition, Flaws and Measurements Template

To cut disputes while drafting faster, use a fixed template. Every pre-owned listing must contain five discrete sections arranged in predictable, scannable order:

  1. SEO Title Header (Max 80 Characters): Front-load brand, specific model name, garment type, labelled size, primary material, and dominant colour. Avoid spam punctuation or meaningless adjectives like "L@@K" or "Gorgeous".
  2. Condition Grade & Flaw Inventory: State eBay's condition for the category, followed immediately by a plain bulleted list of every flaw, scuff, pull, discolouration or repair. For clothing the conditions are New with tags, New without tags, New with imperfections, Pre-owned - Excellent, Pre-owned - Good and Pre-owned - Fair, and eBay's definitions of the pre-owned grades say imperfections should be shown and described in the listing.
  3. Lay-Flat Dimensional Specifications: Provide exact physical measurements taken with a metal tape measure or wooden tailor's rule with the garment laid flat on a smooth surface. Specify both metric and imperial measurements to assist international buyers.
  4. Fabric, Hardware & Provenance Details: List fibre content from the care tag, country of manufacture, specific closure hardware (such as YKK brass fasteners or horn buttons), and whether the piece has been professionally laundered, sanitised, or dry-cleaned.
  5. Shipping, Packaging & Inspection Terms: Reiterate that colour tones may vary slightly across different monitor calibrations, confirm that items are stored in a smoke-free facility, and explain how the item will be packaged to prevent moisture damage during transit.

Synchronising Photographic Evidence with Written Disclosures

An eBay description must never exist in isolation from your listing photographs. eBay allows up to twenty-four high-resolution photos per listing. In a pre-owned category, those photos are your main evidence.

A fatal disconnect occurs when a seller notices a tear or ink mark, photographs it with a macro lens, but fails to mention it in the written text—or conversely, mentions a flaw in the text without providing a clear close-up photograph. Disgruntled buyers routinely claim: "I read the text and it sounded great; I didn't see photo number 18 showing the stain!" Alternatively, they argue: "The photo looked like a reflection or camera flash, not a permanent bleaching mark."

Solve this by cross-referencing photo numbers directly inside your written flaw inventory. If the item has a frayed cuff, your condition bullet should read: "Minor abrasion and fraying along the right sleeve cuff edge (clearly highlighted in Photo #7 and #8)." eBay says it may review a return request and decline it if the evidence doesn't support the claim that the item doesn't match the listing; a flaw named in the text and shown in a numbered photo is the strongest evidence you can give it. To understand how documented condition logs protect trade transactions, see our tutorial on drafting a schedule of condition from photos.

Calibrating Lay-Flat Measurements Against Tag Shrinkage

Nowhere is the danger of unverified listing data greater than in vintage and pre-owned clothing sizing. Garments manufactured decades ago followed completely different sizing standards than modern apparel. In addition, woollen knitwear, raw denim, and cotton shirts frequently undergo severe shrinkage or stretching after years of laundering. To explore how pre-owned fashion sellers balance transparent flaw disclosure, see our guide on honest condition notes for second-hand clothing listings.

If an AI model drafts a listing based solely on the tag "Men's Vintage Size XL", a contemporary buyer expecting a modern 112-centimetre (44-inch) chest will be furious when the garment arrives measuring only 100 centimetres (39 inches). If the listing said only "XL", the buyer can argue the item doesn't match the description, and you end up arguing about what XL means.

The golden rule of pre-owned e-commerce is: Tag size is a reference; measurements are reality. Your AI template must explicitly state the tagged size, immediately followed by the caveat: "Please compare our exact lay-flat measurements below with a similar well-fitting garment from your own wardrobe before purchasing." With measurements in the listing, a garment that measures as stated but doesn't suit the buyer is a "doesn't fit" return under your own returns policy, not a doesn't-match claim. eBay's fee credits treat the two differently too: fully refunding a "doesn't fit" return credits the per-order fee as well as the final value fee, while a "doesn't match description or photos" refund leaves the per-order fee uncredited.

A Waxed Jacket With Three Flaws, Listed Line by Line

To see the workflow with real numbers, take an illustrative resale business specialising in pre-owned workwear and outdoor clothing, listing about 140 garments a month on eBay and other resale sites.

The shop acquired a vintage Barbour Beaufort waxed cotton field jacket in rustic brown. The jacket is authentic, structurally sound, and possesses desirable vintage patina. However, like most working outdoor garments, it displays distinct signs of genuine use: wear along the cuff edges, a tiny pinhole on the lower cargo pocket, and faint surface marking on the lower back hem. The zipper runs smoothly, the corduroy collar is intact, and the internal tartan lining is clean.

Listing Component What Generic AI Would Write What the Structured AI Template Produced What Changed
Listing Title (80 chars) Stunning Vintage Mens Brown Waxed Jacket Large Great Condition Must See Barbour Beaufort Waxed Jacket Mens 42 Rustic Brown C42/107cm Vintage Coat Brand, model and size code front-loaded; no filler words
Condition Statement Pre-owned in wonderful condition, minor vintage character, ready to wear Pre-owned - Good. Heavy vintage patina with 3 specific flaws detailed below Vague 'character' claims replaced with concrete defect disclosures
Flaw Inventory None mentioned; assumes buyer inspects 14 photos Bulleted list of cuff wear, pinhole, and wax dryness with photo numbers Each flaw named and pictured; photos cross-referenced
Measurements Tagged Size 42 (fits like Large) Exact 4-point flat-lay measurements in both centimetres and inches Buyer can compare against a jacket they already own
Care & Odour Disclosure Clean and fresh from smoke-free home Authentic traditional wax jacket scent noted; specialist re-waxing advised Smell disclosed before purchase, not discovered after

The listing took under five minutes of typing. The lister entered the tagged size (C42), four flat measurements (pit-to-pit 61 cm, length 82 cm, sleeve 78 cm, shoulder 50 cm) and the three flaws with their photo numbers, and the prompt returned a plain description in the template. The title is 73 characters, inside eBay's 80. In this illustration the jacket sold within eleven days for $175, with no questions from the buyer before purchase and none after.

Five Listings Where the Text Had to Match the Photos

Each example pairs an AI draft, or a listing that went wrong, with the check that would have caught it.

Prompting for Objective Flaw Reporting and Output Sanitisation

To prevent generative AI from introducing deceptive marketing fluff, the system prompt must explicitly ban flattering adjectives and enforce strict factual formatting. The prompt below illustrates how to generate an objective eBay listing for a pre-owned designer leather handbag.

You are a professional e-commerce cataloguer for high-value pre-owned goods. Take the raw intake notes below and generate a listing description adhering strictly to this layout:
1. TITLE: Max 80 characters. Format: [Brand] [Model/Line] [Item Type] [Colour] [Material] [Key Spec]. No punctuation spam.
2. CONDITION SUMMARY: Platform grade, followed by an unvarnished bulleted list of all flaws. Direct the buyer to specific photo numbers. BANNED WORDS: "stunning", "gorgeous", "mint", "perfect", "flawless", "luxury", "must-have".
3. FLAT MEASUREMENTS: Height, width, base depth, strap drop.
4. MATERIALS & HARDWARE: Outer shell, lining, hardware finish, closure type.
5. BUYER NOTES: Storage, scent, and display calibration note.

Raw Intake Notes:
- Mulberry Bayswater satchel in Oak natural vegetable tanned leather.
- Brass postman's lock shows scratching on the plate.
- Bottom corner piping has visible surface scuffing through the top leather dye (Photos 8 and 9).
- Inside suede lining has a faint 2 cm blue ballpoint pen line near the internal zipper pocket (Photo 12).
- Handles are firm with dark patina from hand oils.
- Measurements: 26 cm high, 36 cm wide, 16 cm deep, 16 cm handle drop.
- Comes with original dustbag; padlock and leather clochette attached.

The model outputs the following disciplined listing text:

TITLE: Mulberry Bayswater Oak Natural Leather Handbag Satchel Bag Brass Lock Classic

CONDITION SUMMARY:
Pre-owned - Good Condition.
This authentic Mulberry handbag has been well cared for but displays normal signs of pre-owned use:
- Surface scratches on the brass postman's lock faceplate (see Photo #6).
- Rubbing and colour wear on all four bottom corner leather piping edges (see Photos #8 and #9).
- A 2 cm ballpoint pen mark on the internal suede lining beside the zipper pocket (see Photo #12).
- Darkening and natural patina on the leather handles from handling.
- Structurally sound with tight stitching, working turnlock, and functional internal zippers. Includes original dustbag, padlock, and clochette.

MEASUREMENTS (Taken flat):
- Height: 26.5 cm (10.5 inches)
- Width across base: 36.0 cm (14.2 inches)
- Depth at base: 16.5 cm (6.5 inches)
- Handle Drop: 16.0 cm (6.3 inches)

MATERIALS & HARDWARE:
- Outer: 100% Natural Vegetable Tanned Leather (Oak Brown)
- Interior: Unlined raw natural suede
- Hardware: Antique brass finish with engraved logo

BUYER NOTES:
Stored in a temperature-controlled, smoke-free environment. Leather has been treated with neutral wax conditioner. Please note monitor colour displays vary slightly.

What you must check before publishing. Compare the output with your notes line by line, because this draft contains errors that look plausible. It changed two measurements (26 cm became 26.5 cm, 16 cm deep became 16.5 cm). It cited "Photo #6" for the lock scratches, though your notes gave no photo number. It described the interior as "unlined raw natural suede" when your notes say a suede lining. It invented a wax-conditioner treatment, "temperature-controlled" storage and an "engraved logo". And it called the bag "authentic", a claim to make only if you can back it with a receipt or an authentication. Every one of those is something a buyer can hold up against the bag. Then confirm the photo numbers still match the gallery order: adding a dustbag photo at the front shifts every number by one. The title is 77 characters, inside eBay's 80.

Work Boots Returned, Then Relisted Honestly

An illustrative post-mortem shows how a cheerful description turns into a loss, and what the relisted version said instead.

The Costly Generative Failure:

A seller used a standard automated description tool to list a pair of vintage Red Wing Iron Ranger leather boots. The AI wrote: "Step out in classic heritage style with these rugged Red Wing boots! Crafted from premium leather that has aged like fine wine, these beauties feature timeless vintage character with years of life left. In wonderful condition, ready to wear anywhere!"
What the AI omitted was that the rubber heel cap was worn down to the leather stack on the outer heel, and the Goodyear welt stitching on the left toe had abraded away. When the buyer received the boots, they took them to a cobbler who quoted $95 for a full resole, and opened a doesn't-match return. The seller refunded the $210 sale and the original postage, paid $18.50 for the return label, and the return counted towards the seller's item not as described rate.

The Corrected Template Approach:

When the seller relisted the returned boots, they deployed the structured flaw template:
"CONDITION: Pre-owned - Fair to Good.
- Heavy heel drag: outer rubber heel caps worn down 4 mm to the underlying leather block (see Photo #5). Will require new heel toplifts in future.
- Abrasion to outer toe welt stitching on left boot; leather sole remains securely attached (see Photo #8).
- Leather uppers show surface creasing, water spots, and scuffs consistent with honest outdoor work use (see Photos #1-#4).
- Factory insoles intact; original laces included.
MEASUREMENTS: Outsole length: 31.5 cm; Outsole width: 11.2 cm."
Relisted with the flaws stated, the boots sold three days later for $175: $35 less than the first sale, but money the seller kept.

An Eight-Point Audit Before You Press List

Before publishing any second-hand item, execute this rapid pre-flight audit to verify that your listing gives buyers as few grounds for a claim as possible.

Refurbished Electronics: Drafting Sensor and Lens Flaw Notes

Pre-owned consumer electronics demand exceptional precision regarding cosmetic scratches, battery longevity, and optical clarity. A customer purchasing a used mirrorless camera body will immediately scrutinise the imaging sensor and rear LCD screen.

A camera reseller feeds shutter actuation software logs and optical inspection notes into their template generator. The AI structures a listing specifying: exact shutter actuation count (14,210, read from the camera with a shutter-count tool, set against the maker's published rating if it gives one), sensor condition (inspected at f/22; zero dust spots or micro-scratches), LCD screen condition (two minor hairline scratches on the protective glass, invisible when illuminated; shown in Photo #9), and battery health (OEM battery holds 94% original milliampere capacity). Replacing "works great" with figures a buyer can check is what lets a camera sell at a fair price to someone who cannot handle it first. State a figure only if you measured it, and say how.

The Vintage Wool Sweater Shrinkage Trap

A classic failure mode in vintage knitwear occurs when an automated system relies on the physical garment tag without checking dimensional shrinkage.

An online merchant listed a 100% wool patterned jumper tagged as "Men's Size XL". The seller allowed an automated listing tool to generate the description from the tag photo. What the tool could not know was that a previous owner had accidentally washed the sweater in hot water and tumble-dried it on high heat. The wool had felted slightly, shrinking the chest width from 61 cm (24 inches) down to 48 cm (19 inches)—transforming a loose Men's Extra Large into a snug Men's Small.

The buyer, expecting an Extra Large, could not pull the jumper over their shoulders. The buyer opened a doesn't-match return and the merchant refunded in full. The merchant updated their operating procedures: all woollen garments must now undergo a mandatory lay-flat chest measurement test against a sizing chart before the listing is generated. The revised listing format now prominently highlights: "TAGGED SIZE: XL — PLEASE NOTE: Has undergone historical laundering shrinkage. Now measures and fits as a modern Men's Small (Chest: 48 cm / 19 inches pit-to-pit). Please check measurements carefully."

The Financial Anatomy of an eBay INAD Return

Many sellers treat occasional returns as a routine cost of doing business. A quick sum shows what one doesn't-match return on a $120 item really costs, using eBay's most-categories fee of 13.6% plus a $0.40 per-order fee on orders over $10 and assuming free postage.

Financial Component Successful $120 Sale (No Return) Disputed Sale via INAD Claim ($120 Item) Net Seller Variance
Gross Customer Payment $120.00 $120.00 refunded in full ($0.00 retained) -$120.00 gross revenue
Outbound Shipping Expense -$9.50 (free postage, absorbed) -$9.50 (Unrecoverable postal expense) -$9.50 lost shipping cost
Return Shipping Label Cost $0.00 (No return) -$9.50 (Mandatory carrier fee billed to seller) -$9.50 lost return shipping
eBay Final Value Fees -$16.72 (13.6% of $120, plus $0.40 per-order fee) -$0.40 (the 13.6% is credited back; the per-order fee is not) -$0.40 fee not recovered
Labour (Packing, Testing, Relisting) 15 minutes total 45 minutes handling dispute & restocking 30 minutes wasted labour (~$15)
Net Cash Impact on Merchant +$93.78 before cost of goods -$34.40 (cash plus time) and no sale -$128.18 total swing

One disputed return on a $120 item costs about $34 in postage, fees and time, and the $94 the sale would have made never arrives. There is a second cost the table cannot show: a Very High item not as described rate in a category adds 5 percentage points to that category's final value fees the following month. Fee rates differ by category (women's bags and handbags, for example, are charged 15%) and change, so check eBay's fee page for yours.

SOP Checklist for Publishing Pre-Owned Listings

To scale your eBay store smoothly while maintaining Top Rated Seller status, embed these four standard operating procedures into your daily listing routine:

  1. Never allow an AI assistant to invent details. If you cannot see a brand tag, do not guess the manufacturer. If you cannot identify the fabric composition, list it as "Fibre tag missing; feels like cotton blend" rather than guessing 100% cashmere.
  2. Establish a dedicated measurement station. Keep a rigid metal rule or non-stretch fibreglass tape permanently mounted on your photography table. Record pit-to-pit, length, sleeve, and waist dimensions immediately after taking photos, pasting the raw numbers directly into your prompt.
  3. Read every generated condition line aloud before hitting submit. If a sentence contains promotional fluff like "a rare gem you will fall in love with", delete it. Replace it with clean, objective declarations of condition, flaws, and dimensions.
  4. Inspect incoming buyer questions. If multiple prospective buyers ask whether an item has pockets or whether a colour is navy or black, update your template prompt to address those specific attributes automatically. Each round of refinement gives buyers fewer reasons to be surprised, and fewer grounds for a dispute.

Frequently asked questions about writing eBay descriptions with AI

Why do eBay sellers experience returns when using built-in AI descriptions?

One-click description tools write from the title and photos they are given, so they tend to produce promotional copy rather than a flaw list. Unless you feed them your defect notes, they can call an item 'pristine' while missing pilling, scuffed leather or missing accessories, which is exactly the gap a doesn't-match-the-listing return is built on.

How does an accurate description protect sellers against eBay Money Back Guarantee claims?

eBay Money Back Guarantee covers items that don't match the listing, and eBay's policy says it may decline a return request when the evidence doesn't support that claim. A flaw named in the description and shown in a numbered close-up is the clearest evidence that the item matched. It does not guarantee the outcome, but it leaves the buyer little to argue.

Which measurements should a pre-owned clothing listing include?

Never rely solely on garment size tags, which shrink or stretch over time. Provide flat-lay measurements: armpit to armpit (chest width), collar base to bottom hem (total length), shoulder seam to cuff (sleeve length), and across the waistband for trousers.
