Can You Turn Off Intuit Intelligence in QuickBooks Online?

Not fully. Intuit says QuickBooks Online has no single switch for all its AI features, and that they cannot currently be turned off one at a time. What you can do is close the Intuit Intelligence pane, ask it in chat to stop opening automatically, and send Intuit feedback through the gear menu.

That answer is less satisfying than a toggle, so the rest of this page gives the exact steps for what works, what to expect from each, what stays on regardless, and how to protect your books from the part you cannot hide. Intuit's own pages label Intuit Intelligence as beta, and settings change, so recheck the help article before you rely on any step.

What Intuit actually says today

Three statements from Intuit's own material shape every option below.

Connect on LinkedInSagnik Bhattacharya
  • QuickBooks Community replies from Intuit's team in January and March 2026 say QuickBooks Online has no direct setting to permanently disable or hide the Intuit Intelligence sidebar, and that there isn't currently an option to turn the feature off. One calls it a core feature that reappears in each new session by design. A community manager's reply in August 2026 points people who want an off switch to the feedback form.
  • Intuit's help article introducing Intuit Intelligence describes how to close the assistant pane and lists prompts that stop it opening automatically, and it says managing the companion view is available only to primary and company admins.
  • Intuit's QuickBooks Accountant feedback changelog, in an entry dated 22 April 2026, added one control: ask Intuit Intelligence to stop opening and it turns off auto-open for your account, across all your client companies. The same entry says broader controls are still being worked on.
  • The wider AI presentation in QuickBooks is a set of features by area (accounting, payments, customer and project work) with a chat layer on top called Intuit Intelligence. The features that sit in your bank feed, invoices and reports are not the chat layer, so closing the chat does not remove them.

Plain consequence: you can quieten the visible assistant, but you cannot opt the whole product out of AI. If your firm has a rule that forbids AI on client data, that is a procurement question for Intuit, not a settings question for you. The tutorial on plans, prompt limits and add-ons explains which plans carry which AI features.

Option 1: Close the assistant pane

This is the quickest relief and the one Intuit documents. In the assistant pane, select the close icon, usually an X at the top of the panel. Per Intuit's help article, the pane stays closed for the rest of your session. It will return in a later session, and Intuit's August 2026 reply says the sidebar is designed to appear while you have an invoice open, so expect to close it more than once unless you also use the prompts in Option 2.

A rough sum shows why it is worth fixing properly. Say a bookkeeper opens 40 invoices a day and the pane appears on half of them. Closing it takes about two seconds, so 20 closes are 40 seconds a day, under four minutes a week. The cost is attention more than time, because the pane covers part of the screen on a laptop. If that is your problem, a larger monitor or a narrower browser window helps more than any setting.

Option 2: Tell the assistant to stop, in the chat box

Intuit's help article lists chat prompts that act as controls. They are typed into the Intuit Intelligence chat, not found in a settings page, which is why searching the menus finds nothing. All four sit under one heading, "To stop Intuit Intelligence from opening automatically":

  • "Stop showing me this."
  • "Stop opening this pane automatically." (one edition says "panel")
  • "Disable Intuit Intelligence."
  • "Turn off the AI assistant."

Read the last two carefully. Despite their wording, the article presents them as ways to stop the pane opening by itself, not as a way to remove the assistant or the AI features behind it. Intuit's accountant changelog adds two useful details: the preference applies across all the client companies you open, and "turn on Intuit Intelligence" or "enable Intuit Intelligence" switches auto-open back on.

One caution. Intuit publishes this help page in several regional editions with slightly different wording, so the exact phrase may differ in yours. Community posters also report the bot replying unhelpfully when asked to turn itself off. Try the prompt, then check whether the pane behaves differently over the next day. If it reappears, note the date and the exact prompt you used, because that is the evidence a support agent needs.

Who can do it

The same article says managing the companion view is available only to primary and company admins. If you are a standard user and the pane keeps opening, ask your admin to try the prompts from their login. If you are the admin, do it once and tell your team what to expect, so nobody assumes it is a fault.

Option 3: Send feedback through the gear menu

Intuit's staff direct people who want a real off switch to the product feedback form. The path, as given in the staff replies:

  1. Click the Gear (Settings) icon at the top right.
  2. Select Feedback.
  3. Describe what you want, then click Next to submit.

Some users in the threads say feedback has not changed anything, and that is a fair view. It still costs two minutes and leaves a record. Write one specific request rather than a complaint. An illustrative message:

Request: a company-level setting to turn off Intuit Intelligence
and AI suggestions.

Why: we are a bookkeeping practice handling client data under
written client agreements that restrict AI processing. A per-user
close button does not meet that. Please add an admin setting that
disables the assistant pane and AI-generated suggestions for the
whole company file, or tell us which plan lacks them.

Contact: [your name], [company]

If your concern is contractual, the stronger move is to ask support in writing, as set out in the section below.

What stays on whatever you do

These are the places AI shows up that closing the pane does not touch. Which ones you see depends on your plan and your region, so treat the list as things to look for.

Where you meet itWhat it doesWhat you control
Bank feed and categorisationSuggests categories and matches for imported transactionsAccept, edit or reject each one; do not bulk-approve
Invoices and remindersOffers suggested text or follow-upsEdit before sending; you press send
Reports and insightsSummaries and prompts about your numbersIgnore or close; verify figures against reports
Intuit Intelligence chatAnswers questions and drafts actionsClose the pane, use the stop prompts, or never open it

On the pricing side, the chat layer has a monthly prompt allowance and Intuit sells a $10-a-month add-on for more prompts; its help pages say no plan offers unlimited prompts. The editions disagree on the exact allowance by region and plan, so check yours before relying on any figure. Declining to use the chat saves nothing on your subscription, and it does not stop you paying list price for the plan.

Protecting your books from AI suggestions you cannot hide

If you cannot remove the suggestions, make them harmless with a short review habit. The main risk is a wrong category or match that nobody notices until the year-end.

A five-line review rule for the bank feed

  1. Never approve a batch without opening at least the five largest items.
  2. Any transaction over a threshold you set (say $500) is categorised by a person.
  3. Any new payee is checked against the supplier list before it is accepted.
  4. Anything the AI marked as a transfer is matched to the other side by hand.
  5. Weekly, scan the uncategorised and recently changed list for oddities.

Illustratively, say a six-person trade firm has 180 feed lines a month. With the rule above, the owner reviews about 15 lines closely (the largest and the new payees) and skims the rest, roughly 25 minutes a month. When an AI suggestion put a $412 equipment purchase into office supplies, the new-payee check caught it, because the supplier was not on the list. The tutorial on reviewing QuickBooks AI agent categories and the one on recategorising after the AI mislabels carry this further.

If you have a rule that forbids AI on client data

Accountants and bookkeepers sometimes have client contracts, insurer conditions or professional standards that restrict AI processing. A hidden pane does not settle that, because the product is still running AI features on the data. Do three things.

  1. Read the contract and your insurer's wording. Find out exactly what is restricted: AI training on client data, any AI processing, or use of a third-party model.
  2. Ask Intuit in writing. Use the Contact us route in the help centre. Ask whether AI features can be disabled at company level on your plan, whether your data is used to train models, and where its processing terms are published. Keep the reply.
  3. Tell the client what you do. A short note that says which tools are used and how suggestions are reviewed is often enough. If it is not, you may need a different product.

The question "which accounting product lets me turn AI off" has no universal answer. Some products have settings and some do not, and they change. Before you switch, check the product's own help pages and test with a trial company file. The comparison of Xero and QuickBooks AI shows how each handles its assistant, and the tutorial on accounting AI agents across QuickBooks, Xero and Sage adds a third.

A short message to staff, ready to paste

Teams waste time when each person finds the pane alone. Send one note.

Subject: The QuickBooks AI pane

QuickBooks has an assistant called Intuit Intelligence. We cannot turn
it off for everyone. Please:
1. Close it with the X if it opens. It stays closed for the session.
2. Do not paste client documents or bank details into its chat.
3. Treat any AI-suggested category or match as a draft. Check it
   before approving.
4. If it changes anything unexpectedly, tell [name] the same day.
[Admin] will ask Intuit whether a company-wide off setting exists.

Point 2 is the one that matters most for privacy. Whatever you type into an AI chat is processed by the vendor under its terms, so keep client documents and identifiers out of it unless your terms allow it.

Three set-ups, three sensible responses

A solo owner who just finds it distracting

Say a one-person landscaping business sends ten invoices a week from QuickBooks. The pane pops up on some of them and covers the line items. The owner does not need a policy. Close the pane, try the "Stop opening this pane automatically" prompt once, and make a note of the date. If it returns, accept that it will, and use the browser's zoom or a slightly narrower window so the panel sits beside the form instead of over it. Send one feedback request. Total effort: five minutes, once.

A bookkeeper working inside clients' company files

A bookkeeper who has accountant access to twelve client files meets the pane twelve times over, and each client may have a different view of AI. Here the matter is client trust, not annoyance. Before touching any file, send each client one line: "QuickBooks now includes an AI assistant that I cannot disable. I do not paste your documents into it, and I review every suggested category myself. Tell me if you would like anything different." Keep the replies in the client folder. Anyone who objects strongly gets the written Intuit enquiry described above, and you may need to decide whether to keep that client on QuickBooks at all.

A firm with five staff and a data-handling policy

A small practice with its own written AI policy needs the policy and the product to agree. The practical steps are to add Intuit Intelligence to the policy's list of tools, to state that the chat layer is not used for client identifiers, and to give one named person the job of checking Intuit's help pages each quarter. The policy can say what staff do (close the pane, review suggestions, use no chat for sensitive data) without claiming a setting exists that does not.

Common misunderstandings that waste an afternoon

  • "I closed it, so the AI is off." Closing the pane hides the chat. The suggestion features elsewhere in the product carry on.
  • "Cancelling the add-on turns it off." The $10 prompt add-on raises how many chat prompts you get. Removing it limits chat use. It does not disable the assistant.
  • "Another user's setting will fix it for all of us." The documented controls apply to the person or admin who uses them, and Intuit says managing the companion view is for primary and company admins.
  • "A browser extension will remove it." Third-party blockers that hide parts of a page can break the product or hide warnings. I would not use one on an accounting file, because you cannot be sure what else it hides.
  • "The AI changes my figures behind my back." Suggestions are proposals, and actions you ask for in chat are things you request. The danger is in approving without reading, which a review rule covers.

A written enquiry to Intuit support

If you need the position confirmed for a contract or an audit, ask in writing and keep the answer with your policy. A message you can adapt:

Hello,

We use QuickBooks Online on the [plan name] plan. Please confirm in
writing:
1. Can Intuit Intelligence and AI-generated suggestions be disabled
for the whole company file? If so, how?
2. If not, which plans, if any, do not include them?
3. Is customer data from our company file used to train AI models?
4. Where are the processing terms for the AI features published?

We need this for a client contract review by [date].

[your name], [company], account email on file

Support agents sometimes answer from a template. Ask for the reply to name the help article it relies on, and if the answer contradicts a help page, mention both in your follow-up. Save the conversation or transcript with the date, because settings and plans change.

Making the pane less intrusive in daily work

Some of the irritation is layout, not principle. A few practical adjustments need no settings change at all. Work in a wider browser window so the assistant pane takes a smaller share of the screen. Use the browser's zoom out one step if the form is cramped. Keep one browser profile for accounting with only the accounting tabs open, so the pane is not competing with other windows. And if you mostly work from a list view, open records in a new tab so the pane's behaviour on the form does not interrupt the list. None of this removes the AI. It stops the AI from being the thing you notice, which is often what people wanted when they searched for how to turn it off.

If the pane keeps stealing keyboard focus when you open a record, that is worth reporting through feedback with a short description: which screen, which browser, how often. Specific reports with a reproducible description are more likely to be read than general complaints.

A record to keep: what you tried and what happened

Keep a four-column table in a note. It gives you evidence for support, a client or an auditor, and it saves repeating the same experiments next quarter.

What to do on the day an update changes the pane

Intuit ships changes often, and a pane that behaved last week may look different today: a new icon, a reworded prompt, a banner announcing new AI features. Do not assume your earlier workaround still holds. Re-run the two minute test: open an invoice, see whether the pane appears, close it, and try the stop prompt again. If the behaviour has changed, update your record table and tell your team in one line. If a new setting has appeared under the gear menu, read its description fully before changing it, and test it with a single user first, since a setting that hides the pane for you may not affect colleagues.

Checking whether Intuit has changed anything

This is a product in beta and the company is under steady pressure on the point, so the position could change within months. A quarterly five-minute check is enough.

  1. Open the Intuit Intelligence help article and search for "turn off" or "disable".
  2. Look at the Settings gear menu for a new AI or Intuit Intelligence entry, in each column.
  3. Search the community for "turn off Intuit Intelligence" and sort by newest; staff replies carry dates.
  4. If a setting appears, test it on one user before rolling it out, and note what it hides.

Note the dates in your own file, since the staff replies quoted here run from January to August 2026 and the changelog entry is dated 22 April 2026. If you want the AI features used well rather than only contained, my AI implementation consultation can help you decide which suggestions are worth keeping on and which review habits to put in place.

More questions about switching off QuickBooks AI

Will turning off the pane stop AI categorisation?

No. Closing the assistant pane hides the chat. Suggestions elsewhere in QuickBooks, such as proposed categories on bank transactions, are separate features, and Intuit says AI features cannot be switched off individually.

Can I stop my staff seeing Intuit Intelligence?

Not with a documented setting that I could verify. Intuit's help says managing the companion view is limited to primary and company admins, so check what your admin can control, and ask Intuit support to confirm for your plan.

Does the AI change my books without asking?

AI suggestions are proposals you accept or reject. The risk comes from accepting in bulk without looking. Review suggested categories and matches before you approve them, as you would a junior's work.

Why does Intuit say it cannot be switched off?

Intuit's staff replies describe AI as part of how QuickBooks now works and point users to the feedback form. Treat that as the current position, not a permanent one, and recheck the help pages when plans change.

Is there a QuickBooks plan without Intuit Intelligence?

I found no plan advertised as AI-free. Ask Intuit sales or support in writing before you buy or renew, and compare other accounting products if a no-AI rule is a hard requirement.
