Photograph each van receipt in the Xero Accounting app, forward supplier bills to your Xero email address or drop the PDFs into Documents, and Smart Document Capture reads them into drafts that wait for your approval. It is included on every Xero plan at no extra charge, so the work left for you is checking supplier, total, tax and job.

Nothing posts until you approve it, which is where trade paperwork goes right or wrong: a fuel receipt from the wrong card, a delivery note read as a bill, a tax line the AI misses. Xero's Early plan lists only five bills, and its own posts disagree on whether tax extraction is live, so settle the plan first and check the tax on every draft until you trust it.

What Smart Document Capture does with trade paperwork

Xero's own pages describe three ways in. You photograph a paper receipt in the Xero Accounting app, send a document to your Xero email address, or drag files onto the web page. JPG, PNG, PDF and Word files are accepted, and Xero says reading takes under 20 seconds. Since 18 September 2026 the place where captured documents wait is called Documents (it was Files) and sits in the Accounting menu.

The reading is done by JAX, Xero's AI assistant. For bills, Xero describes AI that extracts the key details to create draft bills ready for approval, and its Smart Document Capture page says you can compare the original document with the data-entry screen before Xero creates a financial record. Three safeguards matter to an electrician. Xero flags a document that was uploaded twice, it suggests a match when the bank feed shows the payment, and auto-matching of documents to existing transactions can be switched on or off at any time.

Team access is worth knowing now. Xero's September post says a team member can be given upload and view-only access to documents without seeing the rest of the financial data, so someone can be limited to sending documents in. Check in your own account exactly what that user can see before you hand it out. It also lists two things as coming: a personalised forwarding email address, and supplier rules that propose matches for recurring suppliers. Until they arrive you forward to the address Xero gives your organisation and correct the same supplier a few times.

If you used Hubdoc years ago, one fact is worth keeping: it stopped fetching bills from supplier portals in 2022, so bills now reach Xero by email, photo or upload. Here is how the usual paperwork in an electrical firm maps onto those routes.

Four decisions to make before the first receipt

The plan. Smart Document Capture sits on Early, Growing and Established. Early's feature list says "5 bills" and the pricing page does not say per what period, while Growing and Established list "Automate bill entry and track bills". A firm with two vans that receives about 28 supplier invoices a month will find Early at $27 too tight on bills alone, and Growing at $59 the likelier fit. The page also does not say whether a captured receipt for something you have already paid counts towards that allowance, so ask Xero before you rely on the cheaper plan.

Who may upload. Where your account offers upload-only access, give each electrician that, and keep bill approval with one person, either you or whoever runs the office. Xero's bills page says you can assign roles and permissions to control who can create and approve bills. For the first month, the person who captures a bill should not be the one who approves it.

One card per van. Put fuel, parts and small tools on a business card or fuel card. The bank feed then becomes your second copy of every purchase, and a missing receipt shows up as a bank line with nothing attached. Cash undoes this: a cash purchase with no photo leaves no trace anywhere in Xero.

A job code on every receipt. The AI can read a supplier and a total, but it cannot know which job a cable drum belongs to. Have the crew write a short code (say J2041) in the corner of the paper receipt before photographing it, then type the same code into the reference when you approve the draft. That code is also what lets you assign materials to a customer later: Xero's bills page says billable expenses can be set against a customer when you enter a bill, a spend money transaction or an invoice.

Mapping suppliers to account codes in one chat

Account codes are the one set-up chore where a general AI chat saves real time. Get your accountant's chart of accounts, copy 20 to 40 supplier names from last quarter's bank feed, and ask ChatGPT, Claude or Gemini for a first-pass mapping. Paste supplier names and account names only: no bank numbers, no customer details.

You are helping a small electrical contractor set up default account codes in Xero.

Chart of accounts (use only these names):
[paste account names, one per line]

Suppliers (names only):
[paste 20-40 supplier names]

Return a table with: supplier, default account, a second account if their invoices often mix items, and a one-line reason. If you cannot tell what a supplier sells, write UNSURE instead of guessing. Do not invent accounts.

This is an illustrative result for six suppliers, with what you would change.

Supplier (illustrative)AI's default accountWhat you fix
Trade counter (cable, boxes, fixings)MaterialsRight, but add Small tools as the second account because counter receipts mix both
Fuel stationMotor expenses: fuelRight; check each receipt is a van fill, not a personal trip
Tool hire depotEquipmentMove to plant and tool hire if your chart has that account
Test equipment calibration labRepairs and maintenanceBetter under equipment calibration or professional fees; ask your accountant
Waste carrierUNSUREThe honest answer. You decide: waste disposal if the chart has it
Certification body (annual fee)SubscriptionsMany accountants track registration and certification fees on their own line

Treat the table as a draft for your accountant to confirm. Xero says Smart Document Capture learns patterns over time, so the codes you correct on the first few documents from each supplier are the ones it starts to suggest later.

Van receipts: the counter, the pump and the glovebox

  1. At the counter, before you leave. Write the job code on the receipt, lay it flat, photograph the whole slip including the total and the tax lines, in even light. One receipt per photo, so two slips never merge into one draft.
  2. Straight away, not at the weekend. Thermal paper fades when it sits on a hot dashboard or in sunlight, and a faded print gives the AI nothing to read. A photo taken at the counter is the copy that survives.
  3. At the pump. Photograph the receipt, then check the draft against the card line when the bank feed delivers it. A fuel draft has few details, so the check is quick: right van, right total.
  4. End of the day. Open Documents, confirm every photo arrived, add the job reference, approve or fix. Five minutes now beats a shoebox of 60 slips in March.

Here is how one counter receipt might go (illustrative). The slip lists a 100 m cable drum at $138.00, 20 junction boxes at $31.80, 10 LED downlights at $64.50, an SDS drill-bit set at $41.90 and cable ties at $9.20, total $285.40 including tax. Suppose the draft comes back with the total correct, the tax at zero, and the supplier name spelt slightly differently from your existing contact. Three fixes, about a minute: choose the existing supplier contact instead of letting a duplicate appear, set the purchase tax rate your accountant uses, and move the $41.90 drill bits to Small tools. Skip the first fix and the supplier ends up with two contacts, which makes every statement check afterwards harder.

One more decision belongs to the same minute. Of the $285.40, the cable, boxes and downlights ($138.00 + $31.80 + $64.50 = $234.30) belong to the customer's job, while the $41.90 drill bits and $9.20 cable ties stay with the firm as overheads. Mark the three job lines as billable to that customer while the receipt is open in front of you. The cost is then waiting on the invoice screen, instead of sitting in somebody's memory until the customer asks why the bill is short.

Handwritten slips, crumpled receipts and anything photographed at an angle are where Xero's own caveat bites: it says the AI is highly accurate when documents are clear and in standard formats, and it recommends checking captured details. For a handwritten cash sale, type the details yourself and attach the photo as the evidence.

A one-page rule for the crew, drafted by AI and cut by you

Capture fails at the van door, not inside Xero, so the crew needs a rule short enough to read once. Ask an AI chat to draft it from your decisions, then cut it until it fits on half a page.

Write a half-page receipts rule for the electricians in a 3-person firm. Plain words, short numbered steps. Include: photograph every receipt in the Xero app before leaving the counter or the pump; write the job code on the paper first; business card only for fuel, parts and small tools; what to do about a lost receipt (text the office the supplier, amount and job code within the hour); who to ask before buying anything over $150 that is not on the job sheet. Do not add any rule I have not listed.

Expect the draft to over-reach. AI chats like to add penalties and deadlines ("receipts older than seven days will not be reimbursed") that you never decided. Cut anything you would not be willing to enforce. A version worth pinning inside the van door might read as follows (illustrative).

1. Job code in the corner of the paper receipt before you do anything else.

2. Photograph it in the Xero app at the counter or the pump, flat and whole.

3. Business card for fuel, parts and small tools. Nothing personal, ever.

4. Lost a receipt? Text the office the supplier, amount and job code within the hour.

5. Anything over $150 that is not on the job sheet: ask first.

Five lines is deliberate. A rule the crew can recite is followed; a rule on three pages is filed. Read it out at the next Monday start and ask who has a receipt in the cab right now.

Supplier bills, delivery notes and credit notes

Forward each supplier invoice as its own email with the PDF attached, and ask your main wholesalers to add your Xero address as a second recipient on invoice emails if their system allows it. Then the bill arrives without anyone remembering to forward it. Xero's bills page says its AI creates draft bills ready for approval and detects and flags duplicate bills automatically, so the office person's job becomes a short review rather than typing.

A bill review has seven checks, and each takes seconds:

  1. The supplier is the existing contact, not a new spelling.
  2. The invoice number matches the paper copy.
  3. The due date is the supplier's terms, not the invoice date.
  4. Each line sits in a sensible account (cable in Materials, a cordless drill in Equipment).
  5. The tax is right on every line, not only the total.
  6. The job reference is filled in.
  7. The total equals the PDF to the cent.

The delivery note is the classic trap. It arrives in the box with no prices, the invoice arrives by email at month-end, and a keen capture of both counts the order twice. File the delivery note against the bill instead, as supporting evidence. Credit notes need the opposite care: Xero says credit notes are supported, so check that a returned breaker panel shows as a credit note against the supplier and not as another bill that you might pay by mistake.

Once a month, compare each wholesaler's statement with what Xero holds. Xero's pay bills page names the Aged Payables Detail report as the place to see bills, credit notes and overpayments owed; run it after entering purchases and reconciling the bank, then tick it against the statement line by line. A bill missing from Xero but present on the statement is the commonest find, and it is almost always a PDF that never got forwarded.

Letting the bank feed confirm each capture

A capture is only half of the record. Xero says transactions made from your documents are ready to be matched when the bank feed arrives, and the Smart Document Capture page says a pop-up suggests a potential match that you accept or reject. A fuel receipt photographed on Monday should be matched to the card line by Wednesday; if it is still unmatched after a week, the usual causes are a different card, a typo in the total, or a receipt that was never approved.

Xero's automatic reconciliation (the JAX feature) adds a second layer. On Xero's pricing page it is included on Growing and Established and listed as an optional add-on on Early, at $5.00 a month. Xero's reconciliation page says each reconciled line carries a label (Rule, Match, Memory, Prediction or Manual) and that hovering shows the reasoning, that lines JAX is not confident about are suggested rather than reconciled, and that you can switch automatic reconciliation on or off for each bank account. To correct one, edit the account code or use remove and redo.

On the beta question: Xero's August 2026 update still labelled automatic reconciliation as beta, while the pricing and reconciliation pages I read in November show no beta label. Treat it as new either way. For the first four weeks, open every automatically reconciled line before month-end; after that, sample ten a week. A monthly payment to one wholesaler that clears fourteen bills is the line to read slowly, because the right answer is a specific set of bills, not just the right supplier.

A ten-minute Friday check and a month-end sum

Friday stepMinutesWhat done looks like
Open Documents and clear the inbox2Nothing waiting; duplicates deleted
Approve or fix the week's drafts4Every draft has a job reference and the right tax
Look at unmatched bank lines2Each has a document or a note saying why not
List receipts the crew still owes2A short message to each person, sent before they go home

Now the sum, with assumptions you should replace with a stopwatch on your own desk. A three-person firm (an owner, two electricians, two vans) handling 28 supplier bills and 55 van receipts a month has 83 documents in all. Keying each by hand at 2.5 minutes is 207 minutes, about 3.5 hours. Reviewing each AI draft at 45 seconds is 62 minutes. The difference is roughly 2.4 hours a month. At an internal rate of $40 an hour that is about $97 of time against the $32 gap between Early and Growing. The saving is modest on paper; the larger gain is that fewer receipts are lost between the van and the office.

If you are still choosing between tools, how Xero, Tradify and Powered Now compare for receipt scanning sets them side by side. Once the figures are in Xero, the JAX walkthrough for invoices and cash flow shows how to ask questions of them, and a bookkeeper's version of the same capture-and-categorise routine is in AI receipt capture and bank categorisation.

Where capture misreads electrical paperwork

Most failures repeat, so name them and look for them.

  • The same invoice twice. One copy arrives as an emailed PDF and the crew photographs the paper copy as well. Xero flags a document uploaded twice, and its bills page says duplicate bills are flagged; still, glance at the invoice number on any bill from a supplier who posts and emails.
  • Mixed tax on one invoice. A wholesaler invoice with a fee on it, or one line with a different treatment, is where a single tax code goes wrong. Read the tax column line by line on bills over a few hundred dollars.
  • The supplier alias. "Trade Counter", "Trade Counter Ltd" and "TC Electrical" become three contacts. Merge them early: three contacts mean three sets of history and a harder statement check.
  • Discount and settlement lines. A negative line for an early-payment discount can be read as a positive. If the total differs from the PDF by an amount that looks like a discount, this is why.
  • Personal spending on a business card. The AI reads a receipt; it cannot read intent. A supermarket slip or a weekend fill-up needs a person to say no.
  • The rushed approval. The riskiest moment is a Friday evening with 30 drafts. If you cannot check them, leave them as drafts: an unapproved draft costs nothing, a wrong approval costs a reconciliation later.

Xero's own posts also disagree with each other on tax. The 2 July launch post, still live when I read it in November, lists tax extraction under what is coming next, while the 18 September post says Smart Document Capture pulls your local tax rate from uploaded documents. Until you have seen the tax come out right on twenty documents in a row, read it on every one. The monthly cost of AI software for electricians shows where Xero sits against the other tools in a typical electrician's stack, and Dext against Hubdoc is the comparison to read if you outgrow built-in capture.

Smart Document Capture questions electricians ask

Can the AI tell which job a receipt belongs to?

No. It reads what is printed on the document, and a job code is not printed there. Write a short code on the paper receipt before photographing it, then type it into the reference when you approve the draft. If you need full job costing, Xero lists time and cost tracking for projects on the Established plan only.

What if my electricians pay for materials on their own cards?

Either reimburse them from the business bank account and capture the receipt as normal, or use expense claims. Xero's Claim Expenses page lists employee expense and mileage claims under Established, so on a cheaper plan the simpler fix is a business card or fuel card for each van.

Is Hubdoc still the tool to use?

Use Smart Document Capture, which is what Xero's current pages describe. Hubdoc stopped fetching bills from supplier portals in 2022, so bills reach Xero by email, photo or upload. I could not confirm Hubdoc's present status from Xero's pages, so check what your own Xero account shows before relying on it.
