How to Use AI for Etsy Titles, Tags and Descriptions

Give an AI assistant the facts about the item and the search phrases buyers actually use (from Etsy's search bar, your Etsy Stats or a tool such as eRank), then ask for a title under 15 words that names the item first, 13 tags of up to 20 characters that don't repeat your attributes, and a description that answers buyers' questions in its first lines.

The step people skip is the first one. AI writes fluent listings, but it has no idea what Etsy shoppers typed this week, so without real search phrases it guesses. Below, one listing goes through each field with prompts, sample outputs and what to fix, followed by how to do a whole shop without every listing sounding the same. The title guidance dates from August 2025, when Etsy also began rolling out an optional AI tool that suggests shorter titles. Whether to accept those suggestions is covered in Etsy's AI title suggestions: should you accept them?

Step 1: collect the search phrases before you prompt

Three free or cheap sources, in order of usefulness:

  1. Your own Etsy Stats. The search analytics section lists the search terms shoppers used to find your listings, with impressions, visits and orders. These are proven phrases for your shop.
  2. Etsy's search bar. Type the item type and note the suggestions that appear. They reflect what buyers search.
  3. A keyword tool. eRank has a free plan and paid plans from $5.99 a month, and it shows search volume and competition for Etsy phrases.

How to choose between phrases: prefer specific ones that describe the item and the buyer's reason ("teacher book labels") over broad ones ("gift"), and put your two strongest phrases in the title and the rest in tags. Leave out anything you cannot honestly claim. One trap to watch for: when asked for "popular search phrases", AI assistants often suggest famous book series, characters or brand names. Using someone else's trademark or character in your tags or title to attract searches is an intellectual property problem, and Etsy removes listings reported for it. Unless you are licensed, strike those phrases out, however much traffic they promise.

Step 2: write a short fact sheet for the listing

The AI works only from what you give it, so write the facts once:

Item: personalised bookplate stickers, set of 24
Text printed: "From the library of" + buyer's chosen name
Size: 7 x 9 cm each; cream matte paper, permanent adhesive
Made: designed and printed by us in the shop
Personalisation: name up to 25 characters, typed in the
  personalisation box
Dispatch: within 3 working days
Buyers ask: can I have two names? (yes) Will they peel off?
  (no, permanent) Can I choose the font? (two options)
Attributes already set: colour cream; material paper;
  occasion birthday

The last line matters. Listing the attributes you have already set lets the AI avoid wasting title words and tags on them. If you have not set attributes yet, do it before writing anything: open the listing's category options and fill in every relevant attribute, since Etsy treats them like extra tags. You can ask the AI to suggest values from the fact sheet ("which of these attribute options fit this item?"), but choose them yourself from Etsy's own dropdowns.

Step 3: the title

Write 3 Etsy listing titles for the item in the fact sheet.
Rules: under 15 words; start with what the item is; then the most
important details (quantity, personalisation, size or colour);
no repeated words; no subjective words (beautiful, perfect,
unique); no price or shipping info. Use phrases from this list
where they fit naturally: [paste phrase list].
Give the character count for each.

An illustrative output, with notes:

Option 1 is the best start: the item first, quantity, the exact phrase buyers search ("from the library of"). Its only issue is length; "Custom Name Book Labels" partly repeats "Personalised", so trim it. Option 2 slips in "Perfect", which the prompt banned and Etsy's guidance advises moving to the description. Option 3 wastes words on "Cream", which is already an attribute. Final title: "Personalised Bookplate Stickers, Set of 24, From the Library Of, Name Labels", 12 words and 76 characters.

For comparison, the listing's old title was the sort of keyword chain Etsy's guidance now discourages: "Bookplate, Bookplates, Book Plate Sticker, Ex Libris, Book Lover Gift, Teacher Gift, Reading Gift, Library, Custom Bookplate, Christmas Gift". Every phrase in it can live in the tags instead.

Step 4: the 13 tags

Suggest 13 Etsy tags for this listing. Each tag: a multi-word
phrase buyers search, maximum 20 characters including spaces.
Do not repeat the title's exact wording more than twice.
Do not use these attribute values: cream, paper, birthday.
Prefer phrases from my list. Show character counts.

AI assistants are unreliable at counting characters, so check every count yourself. Paste the tags into column A of a spreadsheet and put two formulas beside the first one, then fill them down:

The second formula catches a subtler slip: AI lists sometimes return the same tag twice with different capitalisation, and Etsy gains nothing from the repeat. In an illustrative run, three of the thirteen came back too long, such as "personalised bookplates for readers" at 35 characters, and one was the attribute "cream bookplates". After fixes, the thirteen:

Notice what the final list does. Every tag is a phrase of two or more words, in line with Etsy's own advice to use multi-word phrases; a single word like "gift" says almost nothing about the item. Only two tags repeat title wording. And "teacher book labels" and "classroom library" came from the search bar, not from the AI, which on its own had suggested nothing aimed at teachers.

Step 5: the description

Buyers on the Etsy app see only the start of the description before tapping "more", so the first two sentences should let someone decide. The prompt:

Write the Etsy description from the fact sheet.
Sentence 1-2: what it is, quantity, size, how personalisation works.
Then: "Good to know" as 3 short lines answering the buyer questions.
Then: how to order (what to type in the personalisation box),
dispatch time, and care. British English. No claims beyond the
fact sheet. 120-180 words.

An illustrative opening from the output: "A set of 24 bookplate stickers printed with 'From the library of' and the name you choose, on cream matte paper, 7 x 9 cm each. Type the name in the personalisation box, up to 25 characters, and we'll print and post within 3 working days." That is ready to use. Further down, the output said the stickers were "acid-free", which is not in the fact sheet. Unless you know it to be true of your paper, delete it.

Compare the listing's previous description, which opened: "Welcome to our little shop! Thank you so much for stopping by. We are a family-run bookshop and we love all things books..." On the app, that preview is all a buyer sees before tapping "more", and it says nothing about the product. The rewrite spends the same space on quantity, size, personalisation and dispatch. Keep the shop's story if you like it; move it to the end, where readers who care will find it.

When the item is a digital download

The same bookshop sells a printable reading log as a PDF. Its first AI description promised the log was "printed on quality card and posted in a protective envelope", because the model filled the gap with what bookplates usually involve. For digital items, add three lines to the fact sheet and the description prompt: "Digital download: nothing is posted", "File type and size: PDF, in A4 and Letter sizes", and "What the buyer needs: a home printer or print shop". Then check the output for any mention of paper, postage or dispatch times, and delete it. A buyer who expected a parcel and received a download is a one-star review you could have prevented with one line.

Doing a whole shop without every listing sounding the same

  • Work in batches of five to ten similar listings, each with its own fact sheet and phrase list. Larger batches drift, and details migrate between listings.
  • Ban your own repeated phrases. After the first batch, list the openings the AI keeps using and add them to the prompt as banned. After eight bookshop listings, the list read: "Add a personal touch to", "Whether you're a", "Perfect for any book lover", "Make every book yours". With those banned, the next batch opened with the item and its quantity, which is what the app preview needs anyway.
  • Use Etsy's bulk tools for small changes. In Shop Manager you can tick several listings and use Editing options to add to, find and replace in, or delete from titles, and to add or remove tags. Full rewrites still need one listing at a time.
  • Keep a record of each listing's old title and tags in a spreadsheet, so you can reverse a change that loses views.

Twenty near-identical listings: a florist's dried flowers

A florist selling dried-flower wreaths and bunches has a different problem: twenty listings that are nearly the same product in different colours and sizes. The phrase list matters more than the prose. Each listing's title needs the one detail that separates it ("Dried Flower Wreath, 30 cm, Pampas and Bunny Tails"), its tags need the occasion and room phrases buyers use (door wreath, wedding decor, boho wall decor), and its description needs honest care and shedding notes. AI saves the most time on the twenty descriptions, as long as each gets its own fact sheet.

The quickest way to give each its own fact sheet is a spreadsheet, one row per listing, with columns for size, main flowers, colour, and the phrase that separates it. Two illustrative rows:

Paste one row at a time with the title prompt. Asking for all twenty at once produced titles in which "Pampas" drifted into listings that contain none, which is exactly the kind of error a buyer notices on arrival.

A realistic mistake: the word "handmade"

A seller's AI-written descriptions said "handmade by us" on prints that a local print shop produced for them. On Etsy, an outside business that helps make your items should be listed as a production partner, and the listing should describe how the item is made accurately. The AI had no way to know; the fact sheet just said "our print". Put "Made:" as a line in every fact sheet, stating who makes what, and the AI will describe it correctly.

How to tell whether the rewrites worked

Time per listing, as a guide: gathering phrases and writing the fact sheet takes ten to fifteen minutes the first time, and the three prompts plus checks another ten. That is roughly half the time most sellers spend writing a listing from a blank page, and the fact sheet is reusable when you add a colour or size. When the bookshop added a set of 48, two lines of the fact sheet changed ("set of 48" and "dispatch within 4 working days"), the title needed one edit, and eleven of the thirteen tags carried over unchanged. The two it swapped were aimed at larger buyers: "school book labels" and "bulk book labels", both taken from the search bar rather than invented, and both checked against the 20-character limit. The whole variant took under ten minutes, most of it spent checking the description had picked up the new dispatch time.

Give each rewritten listing 30 days, then compare its Etsy Stats with the 30 days before: impressions in search, visits, and orders, plus the search terms that now bring visitors. Change one listing's title or tags at a time if you want to know which change helped. Rising impressions with no rise in visits usually means the first photo or price is the problem, not the words.

An illustrative reading for the bookplate listing: in the 30 days before the rewrite it had 1,900 search impressions, 64 visits and 3 orders; in the 30 days after, 2,600 impressions, 95 visits and 5 orders, with "teacher book labels" appearing as a new search term. A quick sum shows where the gain came from. Visits divided by impressions was 64 ÷ 1,900, about 3.4%, before, and 95 ÷ 2,600, about 3.7%, after: nearly the same click rate. The extra visits came mostly from appearing in more searches, which is the job titles and tags do. If the click rate had fallen, the new title would be attracting searches it doesn't satisfy. That is encouraging, but two extra orders could be chance, and the second period included the run-up to a new school year, when teachers buy labels. Compare with a similar listing you did not change before drawing conclusions, and keep the old title in your spreadsheet in case you need it back. Accurate, specific descriptions also matter beyond Etsy's own search: Etsy has had an @Etsy app inside ChatGPT, in beta, since May 2026, and a shopper asking it for teacher book labels is better served by a listing that states size, quantity and personalisation plainly. Do I have to tell buyers I used AI to write my listing?

Etsy's Creativity Standards require sellers to disclose in the listing description if an item is created with the use of AI. That rule is about the item itself, such as an AI-generated design, rather than the listing text. Using AI to help word a title or description for an item you made is a different thing, but check the current Creativity Standards if your items involve AI in any way.

Should I use all 13 tags?

Usually, yes. Each tag is another chance to match a search, and Etsy's own guidance favours multi-word phrases. The exception is padding: a tag that describes something the item is not, or repeats a category or attribute you already selected, adds nothing. Twelve accurate tags beat thirteen with one misleading one.

Can AI find the keywords for me?

Not on its own. An AI assistant knows how people describe things in general, not what Etsy buyers typed this month. Take the phrases from Etsy's search bar suggestions, your own Etsy Stats search terms, or a keyword tool such as eRank, and give those to the AI to work with.
