Group your last month of Etsy messages by question, write a quick reply for each common group, and use AI to draft the rest: Etsy's writing assistant if your shop has it, or ChatGPT with your policies pasted in. Check and personalise every draft before sending, and answer first messages within 24 hours, which Etsy's Star Seller standard asks for.

That combination usually halves the time an inbox takes. The caveat is structural: Etsy's public API does not give outside apps access to your Messages, so any AI help happens either inside Etsy or by copying text in and out of another tool. Below are both routes, with filled-in quick replies, a sample AI draft and what to fix, tone rules for difficult messages, and how to keep buyers' personal details out of places they should not be.

What Etsy already gives you for speed

  • Quick replies. Saved messages you insert with a couple of clicks on Etsy.com or taps in the Etsy Seller app. Etsy provides some; you can write your own and file them in categories. To add one, open a conversation, choose View all below the message box, then add a new quick reply with a title, the text and a category.
  • The writing assistant. An optional AI feature Etsy began rolling out to a small group of sellers in 2025. It drafts a reply using information already in your shop, such as item descriptions and similar messages you have sent before. If it lacks the information, you can write your own reply and use "Draft reply" to rephrase it in a friendlier, more customer-service tone. You can hide it if you prefer.
  • Star Seller. One of its criteria is responding to at least 95% of first messages in a conversation within 24 hours, measured over a rolling three months. Etsy has also told sellers that those who reply within two days see a higher conversion rate on average.

Step 1: sort a month of messages into question types

Scroll back through four weeks of Messages and tally what people ask. Here is the tally for an illustrative shop: a funeral director that sells personalised memorial keepsakes on Etsy (engraved keepsake boxes, remembrance candles, small urns), receiving around 12 messages a day.

Anything that makes up more than a few messages a month gets a quick reply. The rest goes to AI drafting or to you. Expect some messages to fall into two rows at once, such as "Can the urn say Mum on the lid, and will it arrive by the 20th?" Tally it under the date question, because that is the part with a deadline, and when you reply, lead with the date: combine the two quick replies, keep a single thank-you at the top, and delete the second opening line so the reply doesn't read as two templates stapled together.

Step 2: write quick replies that do not read as canned

The trick is to leave deliberate gaps so every reply carries one detail from the buyer's message. Filled-in examples for the keepsake shop:

ENGRAVING
Thank you for your message. We can engrave up to [4 lines of 22
characters] on the [product]. For [name/wording they sent], I'd
suggest [layout]. We'll send a proof before engraving, so nothing
is final until you approve it.

ARRIVAL BY A DATE
Thank you for letting us know about [date]. If you order by
[cut-off], we'll dispatch on [day] with tracked delivery, which
normally arrives [timescale]. I'll check with our courier and
confirm today whether that is certain for [date].

CAPACITY
The [product] holds [exact capacity from the listing], which is
a small keepsake portion rather than a full set of ashes. It seals
with [closure]. I'm happy to help if you're choosing between sizes.

Filled in for a real message, the engraving reply takes under two minutes. The buyer asked whether "In loving memory of our Nan, always with us" would fit the small box. Split into lines, it is "In loving memory" (16 characters), "of our Nan" (10) and "always with us" (14), so three of the four lines, each under the 22-character limit:

Thank you for your message. We can engrave up to 4 lines of 22
characters on the small oak keepsake box. For "In loving memory
of our Nan, always with us", I'd suggest three centred lines:
In loving memory / of our Nan / always with us. We'll send a
proof before engraving, so nothing is final until you approve it.

Three rules for every quick reply: never promise a date without checking, always name the specific product, and keep the tone plain and warm rather than cheerful. Exclamation marks have no place in this shop's replies.

Step 3: AI drafts for everything else

If your shop has the writing assistant, try it first on routine messages; it already knows your listings. Its "Draft reply" rephrasing is most useful when your own note is correct but blunt. An illustrative case: the owner typed "No, can't do gold lettering on the oak, only laser. The brass plaque version can do it." The rephrased draft came back as "We'd love to help! Unfortunately gold lettering isn't something we offer on our oak boxes, but we have lots of other beautiful options you might like." It was friendlier, and it had dropped the one useful part, the brass plaque alternative, while adding an exclamation mark this shop never uses. The edit put the alternative back: "Our oak boxes are laser engraved, so gold lettering isn't possible on those. The brass plaque keepsake box can be engraved in gold; I've linked it below if that would suit." Read rephrased drafts for what they removed, not only for tone.

Otherwise, keep a one-page shop sheet (products with exact sizes and capacities, engraving limits, dispatch days, cut-off times, returns rules for personalised items, and tone rules) and paste it into ChatGPT, Claude or Gemini. The first few lines of the keepsake shop's sheet, filled in:

Small oak keepsake box: 12 x 9 x 6 cm; 4 lines of 22 characters
Brass plaque box: 15 x 10 x 7 cm; gold or black lettering
Keepsake urn: 100 ml, a small portion only; screw lid + seal
Proofs: sent within 1 working day; engraving starts on approval
Dispatch: 2 working days after proof approval; tracked only
Cut-off for next-day dispatch: 11am, Monday to Thursday
Personalised items: no returns unless we made an error

Then use this prompt:

You help a small shop reply to Etsy messages. Use ONLY the shop
sheet below. British English. Tone: calm, warm, plain; no
exclamation marks; no sales suggestions unless asked.
Rules:
- Never confirm a delivery date. Say we will check and confirm.
- Never change or restate engraving wording without repeating it
  back exactly as the buyer wrote it, and ask them to confirm.
- If the buyer mentions a death, acknowledge it once, simply.
- If it's a complaint or error, write "[OWNER]" and stop.
Write a reply under 100 words.

Shop sheet: [paste]
Message (names replaced with [NAME]): [paste]

A sample message: "Hi, my dad [NAME] passed away last week and the service is on the 14th. Could you do the oak keepsake box with 'Forever in our hearts, [NAME], 1948-2026'? Would it get here in time?" An illustrative draft:

I'm so sorry for the loss of your dad. I'm sorry for your loss.
We can engrave the oak keepsake box with: "Forever in our hearts,
[NAME], 1948-2026". If you order today it will definitely arrive
before the 14th. You might also like our matching remembrance
candle, which many families order alongside the box.

What to fix, and why each matters: the condolence appears twice (drafting tools repeat set phrases; keep one). "Will definitely arrive" breaks the prompt's rule and is a promise only the courier can keep; replace it with the check-and-confirm line. The candle suggestion is a sales line nobody asked for, in a message about a funeral; delete it. The engraving repeat-back is right, and it matters: it gives the buyer a chance to spot a typo before anything is engraved.

Tone for the messages that need care

Most shops have a category like this shop's grief messages: complaints about a broken item before a wedding, a gift that arrived late for a birthday. AI can help with wording, but a person should write and send these. A before and after, for an engraving error (illustrative):

Before (a hurried reply): "Sorry about that, these things happen. Please return it and we'll look into a replacement."

After (drafted with AI help, then edited): "I'm very sorry. The date on your box is wrong, and that is our mistake, not yours. We'll engrave a new box today and send it by tracked delivery at no cost, and you don't need to return the first one. I'll message you with the tracking number this afternoon."

The second reply owns the mistake, says exactly what happens next and when, and removes a task (the return) from someone who does not need it. That is the pattern to ask the AI for: apology, ownership, specific fix, time. The same principles apply to reviews; see replying to negative reviews with AI.

A realistic mistake: the typo that went to engraving

Here is how it typically happens. A buyer writes a name as "Margret" in one message and "Margaret" in another. The AI draft, and then the shop's proof, use the first spelling. The buyer approves the proof on a phone without noticing, the box is engraved wrongly, and it has to be remade in a rush before the service. The fix worth adopting from day one: whenever a name appears twice in a conversation with different spellings, the reply asks which is correct in so many words, and proofs show names in capitals as well as in the engraving font. AI does not catch this kind of inconsistency unless the prompt tells it to look.

A related edge case: names with accents or letters outside the English alphabet, such as "Zoë" or "José". Some drafting tools quietly "normalise" them to "Zoe" or "Jose", and neither a busy seller reading the draft nor a buyer approving a proof on a phone is likely to notice. Copy engraving text straight from the buyer's message into the proof, never retype it from an AI draft, and check before ordering materials that your engraving software can reproduce the character at all. If it can't, say so before the buyer pays, not after.

Keeping buyer details safe when you use outside AI

Etsy's Seller Policy makes sellers responsible for protecting the personal information they receive and for following data-protection law. For AI drafting, that translates into four habits:

  1. Replace names, addresses and order numbers with placeholders before pasting a message into an outside tool. In a shop like this one, that includes the names of the person who died, which can be deeply personal to the buyer even where the law treats them differently. A message asking to send the box for "my husband, [first name], 1951-2026" to a new address becomes, before pasting: "Can the box for my husband [NAME 2], 1951-2026, go to [ADDRESS] instead of the address on order [ORDER]?" The dates stay, because the engraving depends on them; the name, address and order number go. The address change itself is done in Etsy, never from an AI draft.
  2. Use a plan where your chats are not used for model training, or switch that setting off in privacy settings on consumer plans.
  3. Do not install browser extensions that read your Etsy Messages to "auto-reply". Etsy's public API does not offer access to Messages (sellers were still requesting it in 2026), so such tools read your screen instead.
  4. Keep the conversation itself on Etsy. The Messages record is what Etsy looks at if there is a case or dispute.

A daily routine that meets the 24-hour standard

When you close the shop for a break, holiday mode lets you set the one automatic message Etsy sends on your behalf. For a shop where buyers often have a fixed date, it should say what to do in a hurry, not only when you're back:

Thank you for your message. The shop is closed from [date] to
[date], and I'll reply to every message on [date]. If you need
a keepsake for a service before then, the plain oak box ships
from stock and can be engraved after the service instead;
there's a note about this on the listing.

In the Etsy Seller app, turn on notifications for new messages and turn off the rest, so the midday check is prompted by a real message rather than by habit. If two people share the inbox, agree who owns each pass; a message both assume the other has answered is the one that misses the 24 hours.

Worked example: the keepsake shop's inbox, before and after

Returning to the example keepsake shop, with illustrative figures: it receives about 12 messages a day. Before any changes, the owner answered them in one evening sitting of around 90 minutes, and some buyers waited most of a day for a reply to an urgent date question.

After a month with six quick replies, the drafting prompt and the three daily passes:

  • About half of messages are answered from quick replies with one personal detail added, in about two minutes each.
  • About a third are drafted by AI and edited, in about four minutes each, most of that spent on checking dates and engraving wording.
  • The rest, mostly grief messages and problems, are written by the owner as before.
  • Total inbox time falls to roughly 55 minutes a day, split into three passes, and date questions get an answer the same morning.

The 55 minutes adds up like this, for a typical 12-message day: six quick replies at two minutes (12 minutes), four AI drafts at four minutes (16), two messages written in full by the owner at about ten minutes each (20), and around seven minutes of opening the app and checking courier dates across the three passes. The owner's own writing time barely changed. What fell was the time spent retyping the same engraving and delivery answers.

To check the routine is working, look at your message response rate in the Star Seller dashboard in Shop Manager once a week. If it slips, open the conversations that missed 24 hours: in this shop they were all Friday-evening messages answered on Monday, which a single weekend check solved.

The shop's response rate stays comfortably above the Star Seller threshold, and the hardest messages get more time than before, because the routine ones take less. Etsy messages: what sellers ask

Can I set up automatic replies to Etsy messages?

Etsy's own tools are built around saved quick replies and AI-drafted replies that you send, rather than a bot answering on your behalf. The main automatic message is the one you can set while your shop is in holiday mode. Third-party tools cannot reach your Messages through Etsy's public API, so anything claiming to auto-reply is working some other way; be cautious.

Do replies drafted with AI count towards Star Seller?

A reply is a reply, however it was drafted. Star Seller looks at whether you respond to at least 95% of first messages in a conversation within 24 hours, over a rolling three-month period. AI helps by making each reply quicker to write, but the clock only stops when you actually send it, so keep checking the inbox at set times.

Should I move conversations to email or WhatsApp to use better AI tools?

Keep conversations about Etsy orders on Etsy. Messages there form the record Etsy looks at if a case or dispute is opened, and Etsy's policies expect Etsy sales to be handled through Etsy. Use outside AI tools for drafting by copying text in and out, with personal details removed, rather than moving the conversation.
