For three seats, Aircall costs about $90 a month on Essentials or $150 on Professional when billed annually, because the plans are $30 and $50 per licence and every account needs at least three. Add $6 per extra phone number, then optional extras such as AI Assist Pro ($49 a seat) or AI Voice Agent minutes.
The three-licence minimum is the part that surprises small teams. A two-person business pays for three, and the annual price is the headline: Aircall says paying annually saves 25%, so monthly billing costs roughly a third more. This tutorial builds the bill line by line, from the figures on Aircall's pricing page on 5 November 2026, so you can see what you would actually pay.
The licence maths for exactly three seats
Start with the floor. Each plan includes one local or toll-free phone number, unlimited inbound and internal calls (toll-free numbers excluded), and domestic outbound calling that is unlimited in the countries Aircall lists. The page also lists 50 AI Voice Agents minutes in both plans, plus call recording and transcription.
| Item | Essentials | Professional |
|---|---|---|
| Price per licence (annual billing) | $30 | $50 |
| Three licences, annual billing | $90 a month | $150 a month |
| Same plan paid monthly (annual price is 25% off, so divide by 0.75) | about $40 a licence, $120 for three | about $67 a licence, $200 for three |
| Teams allowed | 3 | Unlimited |
| Call recording access | Up to 1 year by request | Unlimited by request |
| Analytics history | 6 months, basic | 6 months, basic and advanced |
| Call summary, sentiment and key topics | Not listed | Included |
The monthly-billing figures are my own arithmetic from the 25% discount, not a number Aircall prints, so look at the monthly toggle on the page for the exact price. Aircall's FAQ describes the $30 and $50 as prices billed annually; check the checkout screen for how the commitment is collected.
What the extra phone numbers cost
One number is included per plan, and each additional number is $6 a month. Count how many numbers you actually need before you price anything. An illustrative three-person solar installer might keep a main line, a separate line for quotes and a dedicated number on its van signs: two extras, so $12 a month. A bakery with a shop line and a wholesale line needs one extra, $6.
Numbers are the cheapest part of the bill, but they multiply fast if each team or campaign wants its own. A plan with three teams and three numbers per team means nine numbers, eight of them extras: $48 a month, more than one extra Essentials licence at $30.

Buy nowThe add-ons, with the price per seat they imply
Everything below is optional and, apart from the two usage-based items, priced per seat per month.
| Add-on | Listed price | For three seats | What it does |
|---|---|---|---|
| AI Assist Pro | $49 per seat a month | $147 | Real-time AI coaching during live calls |
| Analytics+ | $15 per seat a month | $45 | Custom dashboards, scheduled exports, heat maps, unlimited history |
| WhatsApp in Aircall | $10 per seat a month | $30 | Message customers on WhatsApp from the same workspace |
| Aircall for Salesforce Voice | $30 per seat a month | $90 | Calling and AI insights inside Salesforce Service Cloud |
| Number Reputation Dashboard | $0.03 per reputation check | Usage-based | Shows how carriers label your numbers |
| Branded caller ID | $0.08 per call per brand | Usage-based | Shows your business name and logo |
The trap is stacking. Three seats of Professional ($150) with AI Assist Pro on all three ($147) is $297 a month before a single AI Voice Agent minute, which is nearly double the licence cost. AI Assist Pro earns its place on the people who spend their day on outbound calls. It rarely makes sense for someone who takes the occasional customer enquiry.
AI Voice Agent minutes: how the pricing steps work
The AI Voice Agent answers and resolves calls and is priced by conversation minutes. Aircall lists pay-as-you-go at $0.29 a minute, with three bundles billed monthly under an annual commitment.
| Option | Price | Effective rate |
|---|---|---|
| Pay as you go | $0.29 a minute | $0.29 |
| 1,000-minute bundle | $250 a month | $0.25 |
| 3,500-minute bundle | $805 a month | $0.23 |
| 10,000-minute bundle | $1,900 a month | $0.19 |
| Over 50,000 minutes | Custom | As low as $0.12 |
Standalone AI Voice Agents start at $99 a month. The page's own calculator shows how a bundle works above its allowance: at 2,500 minutes, a 1,000-minute bundle ($250) plus $0.29 for each extra minute gives $685 a month, against $725 for pure pay as you go. Included minutes (50 a month with Essentials or Professional, 100 more for new sign-ups per the page) reduce the first months' bills but are a trial, not a plan. Aircall's help centre adds three billing rules worth knowing: calls are billed to the exact decimal minute (66 seconds is 1.10 minutes), calls shorter than 15 seconds are not billed, and usage is taken from the included minutes first, then any bundle, then pay-as-you-go overage. Bundle minutes you do not use expire at the end of the billing cycle.
A deeper treatment of the per-minute economics sits in Aircall pricing per minute; here we use the rates to price a whole three-seat account.
Four three-seat bills, worked end to end
All four are illustrative. They assume annual billing, which is the price Aircall leads with, and exclude any tax or carrier charges that appear on your invoice.
Scenario one: the minimum viable setup
A three-person HVAC contractor takes calls on Essentials, one number, no add-ons, and uses the 50 included AI Voice Agent minutes for after-hours calls.
3 x Essentials at $30 ............. $90.00
Extra numbers (none) .............. $0.00
Add-ons (none) .................... $0.00
AI Voice Agent: 50 minutes included $0.00
Monthly total ..................... $90.00
Scenario two: a sales desk with coaching
A three-person solar installer needs team-level routing, runs outbound campaigns, and puts AI Assist Pro on two of the three seats.
3 x Professional at $50 ........... $150.00
2 extra numbers at $6 ............. $12.00
AI Assist Pro, 2 seats at $49 ..... $98.00
AI Voice Agent: 50 minutes included $0.00
Monthly total ..................... $260.00
Scenario three: add an AI agent for overflow calls
A bakery with three counter and delivery staff on Essentials expects 300 AI-handled conversation minutes a month for orders when the shop is busy.
3 x Essentials at $30 ............. $90.00
1 extra number at $6 .............. $6.00
AI Voice Agent: 300 minutes
minus 50 included = 250 x $0.29 . $72.50
Monthly total ..................... $168.50
Scenario four: a bundle once volume is steady
A bicycle repair shop chain handling 2,000 AI minutes a month on Professional with one analytics add-on.
3 x Professional at $50 ........... $150.00
Analytics+ on 3 seats at $15 ...... $45.00
50 included minutes ............... $0.00
1,000-minute bundle ............... $250.00
Extra 950 minutes at $0.29 ........ $275.50
Monthly total ..................... $720.50
At 2,000 minutes the AI line is $525.50 ($250 plus $275.50), so the 3,500-minute bundle ($805) would cost about $280 more and is not worth it yet. On list prices it overtakes the 1,000-minute bundle plus overage at about 2,960 minutes a month, where $250 plus $0.29 a minute reaches $805. The 1,000-minute bundle itself beats pure pay-as-you-go from about 910 minutes a month. Re-run both break-evens whenever your monthly minutes move.
Checking whether the AI agent is cheaper than a person
A useful comparison is cost per resolved call against the time it replaces. An illustrative figure: a call that takes the AI agent three minutes costs about $0.87 at pay-as-you-go rates ($0.29 x 3). If the same call takes a staff member five minutes, including the time to pick up and log notes, at an hourly cost of $18, it costs $1.50. The agent wins on price per call only for repeat, low-complexity calls (opening hours, order status, appointment changes), and loses wherever a customer needs a judgement call.
The practical lesson is to route a narrow set of calls to the agent first, measure what it resolves and what it hands back, and scale only then. The walk-through of which calls to hand over first is in what to automate first with 50 minutes.
A mistake in budgeting that shows up in month two
The common error is pricing the first month from the trial allowances. The page promises 100 AI Voice Agents minutes at sign-up plus 50 every month, so a new account feels cheap for a while. Picture a bakery that lets the agent handle 150 minutes in month one: the 100 sign-up minutes and the 50 monthly minutes cover it, and the bill is just $90 of licences. In month two the sign-up minutes are gone, 150 minutes means 100 billable ones, and the AI line is $29 on top of the licences. Scale the same behaviour to 600 minutes and the surprise is $159.50. The fix is to budget from the steady-state rate, not the welcome allowance, and to put the usage dashboard on a monthly calendar reminder.
Alongside that, look at usage a week before the billing date. Pay as you go has no cap on the page, so a promotion that doubles call volume can double the AI line without warning.
Turning your missed calls into a seat and minute estimate
The licence count is easy; the AI minutes are where budgets drift, because most owners have never counted their calls. Spend one week on a tally before you buy. Keep a sheet by the phone, or export your current provider's call log, and fill in this illustrative example for a small solar installer.
Mon calls in 31 answered 24 missed 7 avg length 3.1 min
Tue calls in 28 answered 22 missed 6 avg length 2.8 min
Wed calls in 35 answered 27 missed 8 avg length 3.4 min
Thu calls in 30 answered 25 missed 5 avg length 2.9 min
Fri calls in 26 answered 19 missed 7 avg length 3.0 min
Week 150 in 117 answered 33 missed (22% missed)
If the AI agent took only the 33 missed calls at three minutes each, that is about 100 minutes a week, or 430 a month (100 x 52 / 12). After the 50 included minutes, 380 billable ones at $0.29 is $110.20 a month. Compare that with what a missed enquiry is worth to you: 33 missed calls a week is about 143 a month, and if one in ten was a quote worth $2,000, that is about 14 quotes a month, though no business wins every quote. The sum is not a promise, it is a way to see whether $110 is small or large against your own numbers.
Annual against monthly billing, in cash terms
Annual billing is 25% cheaper per licence, but the cash goes out sooner and the commitment is longer. For the three-seat Professional example, annual billing is $150 x 12 = $1,800 against about $200 x 12 = $2,400 monthly, a saving of roughly $600. For Essentials the same sum saves about $360.
The question to ask is not "which is cheaper" but "what if I leave after four months". Four months of monthly billing on Professional is about $800, which is less than the $1,800 you committed to. If your team has never used the product, take the free trial and one or two months on monthly billing before moving to annual. Check Aircall's terms on whether you can switch part-way through.
Costs the pricing page leaves for the invoice
Four categories rarely appear in a quote and can add up.
- Taxes and regulatory fees. Prices are listed before any sales tax or telecom surcharge that applies where you operate. Ask for an indicative invoice.
- International calls and text messages. Both are "contact us" items on the page, so a team that calls overseas customers must get a rate before relying on the monthly figure.
- Toll-free numbers. The page excludes toll-free from the unlimited inbound promise, so a toll-free main line can carry per-minute charges.
- Your own time. Setting up the phone menu, hours and routing for three people is an afternoon. If the CRM integration needs mapping, add another half day.
None of these is a reason to avoid Aircall. They are a reason to treat the sums in this tutorial as a floor and to add a margin of 15 to 20% when you present the cost to a partner or accountant.
Replacing an answering service: a before and after
An illustrative before: a bicycle repair shop pays an outsourced answering service $140 a month for 60 messages, then one staff member spends 20 minutes a day calling people back. After: three Essentials seats at $90, one extra number at $6 for the repair line, and the AI Voice Agent taking 100 minutes of after-hours calls (50 included, 50 at $0.29 = $14.50). That is $110.50 a month, and callers can book a slot or leave details the shop sees as a transcript the next morning.
The saving here is $29.50 a month, which is modest. The real difference is call handling: the shop moves from relayed messages to transcripts in the same system as its other calls. If your main goal is the cheapest bill, the answering service wins at low volume; if it is a single record of every call, the Aircall route does.
How to read your first month's usage
After thirty days, open the usage and analytics screens and write down four numbers: calls handled by humans, calls handled by the AI agent, AI conversation minutes, and calls handed from the agent to a person. Then answer three questions.
- Did AI minutes exceed 50? If so, what was the cost of the excess at $0.29?
- Are all three seats actually used? A seat that took fewer than ten calls is a candidate for dropping to the minimum and using it for something else.
- Did any add-on go unused? Cancel it at the next renewal instead of paying for a feature nobody opened.
Treat the first bill as a measurement. Aircall's free access lets you do this before you commit, and the dashboard setup shows where these numbers live.
Should three licences be Essentials or Professional?
Use a short decision list, not a feeling.
- Do you need more than three teams? Professional lists unlimited teams; Essentials caps at three.
- Do you want call summaries, sentiment analysis and key topics without extras? Those sit in Professional.
- Will you ask for recordings older than a year? Professional lists unlimited recording access by request.
- If none of those apply, Essentials leaves $60 a month on the table across three seats.
The full side-by-side is in Essentials or Professional for a sales team, which also covers the features not priced here.
When three licences are too many
If only one person takes calls, three licences at $30 is $90 for a single working phone. Compare with Dialpad, RingCentral and Quo, checking each one's minimum seat count and per-user price, or consider whether the standalone AI Voice Agents product (a $99 monthly minimum) covers a business that mostly needs a smart receptionist.
There is also a halfway option: take three licences, use one as the main line, and give the other two to people who answer overflow calls, so the minimum is doing some work. That keeps the cost per active seat at $30 rather than $90.
What a two-person firm should do instead
An illustrative two-person plumbing firm cannot buy two licences, so the minimum adds a third it does not need. Three options exist: pay for the third seat and give it to a part-time bookkeeper who answers when both plumbers are on site, pick a provider with a lower minimum, or use the standalone AI Voice Agents product, which has a $99 monthly minimum and its own routing, escalation and handoff settings. The third option is built around the AI agent rather than seats for staff, so it suits a firm whose main problem is calls missed while working. Price all three on one page, add 15% for the fees the page leaves out, and pick the one whose worst case you can live with.
Questions to ask Aircall's sales team before signing
- Is the 50-minute AI Voice Agents allowance one per account or per seat?
- Which telco charges apply when the AI agent answers calls on a toll-free number? Aircall's help centre says local inbound calls are included but toll-free calls are not.
- Can I move from Essentials to Professional mid-term, and what happens to the annual price?
- What are the outbound calling rates for the countries my customers are in? The page says to contact Aircall for international rates.
- Which carrier fees or text-message costs sit outside the plan? SMS and MMS rates are "contact us" on the page.
Write the answers next to your budget. Anything the page says "contact us" for is a line your bill may include that this tutorial cannot price.

Aircall cost questions before you commit to three licences
Can I buy Aircall for one or two users?
Not on the plans listed. Essentials and Professional both carry a three-licence minimum, whether you pay monthly or annually. A two-person firm therefore pays for three seats or looks at the standalone AI Voice Agents product, which starts at $99 a month and works with or without a phone system.
Are the AI Voice Agent minutes included in each licence?
Aircall's help centre says 50 minutes are included every month in its core plans, and the pricing FAQ calls them the 50 free minutes all customers get, which reads as one allowance per account rather than per seat. New accounts also receive 100 trial minutes once. Confirm with Aircall's sales team if your budget depends on it.
Does annual billing lock me in?
Annual billing saves 25% and is the headline price, so it is a commitment by design. Read the terms at checkout for cancellation and downgrade rules. The AI Voice Agent bundles are also billed monthly with an annual commitment.
What counts as a conversation minute for the AI agent?
Aircall prices the AI Voice Agent by the minutes the agent spends on calls, not by calls. Its help centre says calls are billed to the exact decimal minute, so a 90-second call is 1.5 minutes, and calls shorter than 15 seconds are not billable. The usage report in the Billing tab is the record Aircall bills from.
